How to create and manage a Booking Sequence

For guests seeking multi-day reservations of your bookable Hotel information items (such as restaurant tables, sports gear, sports courts, daybeds, or even seats), our Booking Sequences feature is the solution. Created and managed by staff users, the Booking Sequences are an easy way to streamline recurring booking processes.

πŸ’‘We will look into the details of Booking Sequences using the example of a table booking in a restaurant, but the procedure is the same for any other Hotel information bookings.

This article provides a guide on how to create and handle Booking Sequences. For easier navigation, it is cut into four distinct sections.

πŸ’‘A single reservation inside a Booking Sequence is called an Occurrence.

How to create a Booking Sequence

Step 1: Go to your Table Bookings

From your Dashboard, access the "Table Bookings" feature on the left-hand menu.

Step 2: Open your restaurant's table reservation matrix

Click on the name of the restaurant you would like to do the Booking Sequence at to access the table reservation matrix.

πŸ’‘Tip: Make sure to select the date the Booking Sequence should start from in the date picker.

Step 3: Add a reservation

To add a reservation, click on the suiting time slot within the matrix or click on the β€œAdd Reservation” button.

πŸ’‘Tip: You can also change the date of the reservation on this page by clicking on the date picker.

Step 4: Create the Booking Sequence

Fill in all the relevant information for a new reservation and click on the "Save & create a booking sequence" button.

Step 5: Enter the last day of the Booking Sequence

Click on the date to open the date picker and enter the last day of the Booking Sequence. Press "Save" to create the Booking Sequence.

Step 6: Edit the Booking Sequence occurrences if needed

On the next page, you will find an overview of the Booking Sequence, presenting each individual booking (called "occurrence") it contains. You can edit each occurrence by clicking on "Details" and "Go to date". You can also cancel the occurrence from here.

How to edit an existing Booking Sequence

Step 1: Click on the Booking sequence you would like to edit and click on "Edit reservation"

Step 2: In the next screen, click on "Edit occurrences"

Step 3: Manage the occurrences

From here you can either go to the date if you want to edit the occurrence (for example, change the table or reservation time). Alternatively, you can cancel the occurrence directly from here.

How to directly cancel occurrences

Step 1: Click on the occurrence you want to cancel and select "Cancel reservation"

From the table booking matrix, click on the occurrence you want to cancel and click on "Cancel reservation".

Step 2: Cancel the occurrence

From the next page, you can cancel the individual occurrence, or decide if you want to cancel all the following occurrences by selecting the suiting option.

How to turn a single booking into a Booking Sequence

Step 1: Click on the booking to turn into a Booking Sequence and click on "Edit reservation"

Step 2: On the next screen, click on the button "Save & create a booking sequence"

Step 3: Follow the steps to create a Booking Sequence

Follow the steps to create a Booking Sequence as described in the first section of this article, starting from Step 5
