WHAT IS THE WALK-IN REGISTRATION?

The Walk-in Registration is an easy and quick solution for your guests to register and participate in an activity or restaurant visit on site, even if they have not signed up through the app in advance. All they need to do is scan the QR code with the camera of their phone, fill in the required information and they are ready to join!

HOW TO USE THE WALK-IN REGISTRATION

  • Your staff at the activity or in the restaurant simply shows an QR code to the guest.

  • The guest scans the QR code with their smartphone. Works with and without your app.

  • The guest fills out a short registration form (e.g., name, telephone number...).

  • The guest can register, ignoring limits and booking times.

  • A success screen is shown on the smartphone and can be presented to staff.

HOW TO SET UP THE WALK-IN REGISTRATION

STEP 1: OPEN BOOKING SETTINGS

Decide for which entry you want to use the Walk-in Registration and open this entry. As you need an entry with an active booking functionality in order to use the walk-in registration, please click on "Create booking" to set up the booking configurations for this entry or click on "Edit" if you already have them set up.

Please note:
The Walk-in Registration is only available for activities and table bookings (or seat bookings, daybed bookings, sport court bookings).

STEP 2: DEFINE FORM FIELDS

In order to use the Walk-in Registration you have to set form fields that your guests have to fill out when using the Walk-in Registration.

Important:
To make things easier for your we have set up two Walk-in Registration form fields in every existing booking (last name and room number).
If you create a new booking now, there are no predefined Walk-in Registration form fields and you have to set them yourself.


This is how: To decide on Walk-in Registration form fields you can choose from the form fields of the booking configurations of that entry. However, as the Walk-in Registration is built for a fast process, it makes sense to use only a reduced selection of fields in the Walk-in Registration form. To define them, please click on "Edit" of the form field you want to use for Walk-in Registration and check the box "Show on walk-in registration form".

Please do this with all the fields you want to use in the Walk-in Registration form. Back on the overview, a small icon marks the form fields selected for the Walk-in Registration form.

STEP 3: GET THE QR CODE

In order for your guests to use Walk-in Registration, you need the specific QR code for this entry. Please open the entry and click on "Share" in the top right corner.

A form will pop up where you can select "Walk-in Registration" and download the QR code.

This will create a page with the QR code and the title of the corresponding entry, which you can then print out.

Please note:
Every single entry has a separate QR code except recurring activities.

Also when a guest registers with the Walk-in Registration, all booking restrictions are ignored. They can do the Walk-in Registration even if the activity or restaurant is fully booked or when they are past the booking time.
Therefore, it is important to only hand out the QR code to your staff to individually show to walk-in guests and not share it with guests in general.

WALK-IN REGISTRATION IN BOOKINGS

As soon as a guest has registered via the Walk-in Registration, this data will be stored and accessible to you in the backoffice. This way, you have the data of all participants conveniently collected in one place.

In the bookings section in the backoffice, Walk-in Registrations are marked with a small icon:

The Walk-in Registrations are also marked on the printed attendee list:
