Understanding the Guests feature

The Guests feature is a powerful tool designed to give you an overview of your guests, their check-in/out details, and all related bookings in one convenient location. If you are also using the Chat feature, Guests also lets you start direct chats with your users.

This tool streamlines your daily operations, especially if your property has a PMS integration, by automatically syncing guest data from your PMS and creating guest profiles.

If you do not have a PMS integration, guests will be prompted to enter their stay details upon logging in, which will create their guest profile.

💡The feature is on your left-handed menu if you have a PMS integration, or will appear as soon as one of your guests enters their stay details upon login into the app.

💡A PMS (Property Management System) integration allows the automated synchronization of guest data, bookings, and stay details directly from your hotel’s PMS into Hotel MSSNGR. We are currently integrating with Protel and Mews, and soon with Opera Cloud and ASA. If you want to start an integration, contact us.

Arrivals & Departures

The Arrivals and Departures sections provide a clear, real-time schedule of all guest movements for the day. These sections are updated automatically if you have a PMS integration. If you do not have an integration, the data will be updated when guests enter their stay data upon logging into the app.

You can easily navigate between days using the date picker to plan ahead or review past activities. You can also quickly identify if a guest is using the app by the badge next to their name:

  • Red Badge: "No App"

  • Green Badge: "App user"

You can further access guest profiles for more detailed information about their stay and bookings. Simply click the arrow next to the guest's name, then on "More details". Guest profiles will be covered later in this article, click here to directly jump to the relevant section.

With PMS Integration:

These sections become even more powerful when your hotel is PMS-integrated. It will let you use the check-in/out assistant - better known as Digital Front Office to manage guest arrivals and departures.

💡The Digital Front Office is a Check-in/out assistance, letting your guests fill out their registration form digitally or review their invoices upon departure.

On Site

The On Site section lists all guests currently at your property and provides quick access to the individual guest profiles by clicking on "More details".

This overview can, for example, help you make informed decisions on promoting bookable items using Outbound Messages. For instance, if there are many guests on-site but few booked activities, it might be a good time to send an Outbound Message promoting available slots.


Guest Profiles

💡Guest Profiles are accessible from the Arrivals, Departures and On Site sections by clicking on "More Details.”

The guest profile is composed of two elements: Guest Information and Bookings.

Guest Information can be thought of as an ID card. It contains all relevant guest data, such as the stay dates, reservation number, PAX, email address, etc. From this section, you will also be able to start a direct chat with them, using the Chat feature. The user will receive your message either as a push notification if they have opted in, or otherwise as an in-app notification

The Bookings Section shows a list of all booked items linked to this profile. Whether or not the guest uses the app, all on-site bookings made via Hotel MSSNGR and linked to this profile will be listed here, including those made by staff on their behalf. This section is composed of multiple elements:

  • Title of item

  • Date

  • Type (whether Service, Activity, or Hotel information booking)

  • State (Pending is represented by a yellow exclamation mark, especially relevant for Service bookings, requiring staff confirmation)

  • Code, which is the booking number
